Position Overview

We are looking for a highly organized and well-connected Project Manager to oversee the Lisbon Insiders Awards Ceremony, our prestigious event that celebrates and rewards the hospitality industry. This 3-month role involves managing the entire event from production to venue sourcing, sponsor acquisition, and relationship management. The event will take place over two days in March, with the first day dedicated to an exclusive ceremony for industry professionals, and the second day open to the public. The ideal candidate will have deep knowledge of Lisbon’s culinary scene, including connections with chefs, restaurants, and key players in the hospitality sector.

Key Responsibilities

  1. Sponsor Acquisition & Relationship Management:

    • Actively seek sponsorship opportunities within the gastronomy, hospitality, and related sectors.

    • Create tailored sponsorship packages, highlighting the value of associating with the Lisbon Insiders Awards.

    • Manage relationships with current sponsors, ensuring fulfillment of all agreed benefits and fostering long-term partnerships.

  2. Industry Networking & Stakeholder Engagement:

    • Leverage your existing connections in the Lisbon gastronomic and hospitality scene to enhance the event’s reputation and network.

    • Build relationships with key industry players, including top chefs, restaurants, hoteliers, and food critics.

    • Act as the primary point of contact for all stakeholders, maintaining a professional and high-quality attendee list.

  3. Venue Sourcing & Logistics:

    • Identify and secure a venue in Lisbon that aligns with the exclusivity and prestige of the event.

    • Manage venue-related logistics, including securing necessary licenses, permits, and compliance with local regulations.

    • Ensure that all safety, legal, and operational requirements are met for the event’s duration.

    • Negotiate contracts and handle logistical arrangements, ensuring a smooth attendee experience.

    • Oversee venue setup and ensure all logistical aspects are executed to perfection.

  4. Budget & Timeline Management:

    • Create and manage a detailed event budget, ensuring cost-effective decision-making without compromising the quality of the event.

    • Monitor and report on budget status regularly, adjusting plans as needed to stay within financial limits.

  5. Event Production & Coordination:

    • Lead the production of the Lisbon Insiders Awards Ceremony, ensuring the event is executed to the highest standards.

    • Develop and manage the event timeline, covering all phases from concept to execution.

    • Coordinate with vendors, including audiovisual teams, catering, and event design, ensuring a seamless event experience.

    • Plan the flow of a two-day event:

      Invitation-only ceremony for industry professionals, including the evening award announcements.

  6. Help with the Communication Plan of the Event:

    • Collaborate with stakeholders to collect necessary materials such as sponsors' and partners' logos, images of restaurants, and any additional content required for promotional purposes.

    • Coordinate with the marketing team to ensure the materials are used effectively in all communication channels.

    • Provide ongoing support to refine and complete the communication plan to ensure consistent and high-quality messaging.

  7. Post-Event Analysis & Reporting:

    • Conduct a full post-event review, including feedback from sponsors, vendors, attendees, and partners.

    • Compile a comprehensive report on event success, lessons learned, and recommendations for future editions.

Qualifications

  • Extensive Knowledge of Lisbon’s Gastronomy & Hospitality Scene: Strong connections with chefs, restaurants, and key players in the industry.

  • Proven Experience in Event Management, especially in large-scale or high-profile events, ideally related to gastronomy, hospitality, or luxury industries.

  • Excellent Organizational Skills: Capable of managing multiple facets of event production, from venue sourcing to sponsor relations.

  • Strong Sponsorship and Relationship Management Skills: A track record of successfully securing sponsors and managing long-term partnerships.

  • Project Management Experience: Ability to create and maintain timelines, manage budgets, and meet tight deadlines.

  • Exceptional Communication and Interpersonal Skills.

Preferred Skills

  • Fluency in Portuguese and English is a Plus, though not mandatory.

  • Familiarity with Lisbon’s event venues and networks within the city’s high-end gastronomy and hospitality sectors.

  • Proficiency in project management tools (e.g., Asana, Trello, Notion).

  • Experience managing ticketed public events is a plus.

Contract Details

  • Full-Time (January - March): Full-time commitment, with a focus on event execution and management leading up to the event weekend.

  • Salary: A monthly fixed fee plus a commission system based on securing sponsorship deals and ticket sales performance.
